Privacy Policy
This master Privacy Policy replaces earlier versions published on arcteligentlabs.com and on the Timezone hosting endpoint. It covers Free and Pro (paid) use of the Service.
1. Introduction
This Privacy Policy describes how Arcteligent (“Arcteligent,” “we,” “us,” or “our”) collects, uses, discloses, stores, and safeguards information in connection with Timezone by Arcteligent (also referred to as “Timezone,” “TimeZone,” the “Service,” or the “Bot”), a Discord application that provides timezone conversion, live voice-channel clocks, morning digests, alarms, reminders, events, presets, an in-Discord control panel, and related scheduling features.
By installing, inviting, accessing, or using the Service on any Discord server (“Server” or “guild”), you (“User,” “you”) agree to this Privacy Policy. If you do not agree, do not install or use the Service.
The Service also operates under Discord’s Terms of Service and Discord’s Privacy Policy. Where those conflict with this policy on Discord’s platform rules, Discord’s terms control for platform matters.
This Policy is designed to address applicable United States federal and state privacy laws (including CCPA/CPRA, VCDPA, CPA, CTDPA, UCPA, COPPA, and CalOPPA where relevant) and, where applicable, GDPR-style expectations for users in the EEA/UK.
2. Scope and who this applies to
This Policy applies to information collected through:
- Your use of Timezone Discord bot commands, buttons, menus, and related interactions
- Associated dashboard, website, or configuration pages on arcteligentlabs.com related to Timezone
- Communications with our support team
- Payment and subscription processing for the paid “Pro” tier (when enabled)
It applies to users who interact with the Bot and to server administrators who invite the Bot. It does not govern Discord’s own platform practices.
3. Age restrictions and children’s privacy
The Service is intended for users who meet Discord’s minimum age requirements (generally 13+, or higher where required). We do not knowingly collect personal information from children under 13. If we learn we have, we will take reasonable steps to delete it promptly. Contact us using Section 15 if you believe a child under 13 provided information to us.
4. Information we collect
4.1 Information you provide or that Discord supplies to run a command
- Discord identifiers — Discord user ID; username/display name and discriminator or handle as Discord provides; Server (guild) ID; channel IDs where the Bot posts or manages clocks; and role/permission context needed to process a command or button action.
- Feature input — text and options you submit (alarm labels, reminder text, event titles, city/timezone choices, digest settings, clock display names, notes).
- Operational configuration — live clock and preset settings; morning digest preferences; entitlement/plan status for a Server (Free vs Pro).
- Voice channel configuration — channel names/IDs designated for live voice clock display.
- Payment metadata (Pro) — when Stripe is enabled: Stripe customer ID, subscription ID, price ID, billing status, cycle dates, and limited payment-method identifiers (for example last four digits) returned by Stripe. We do not store full card numbers or bank account numbers; Stripe processes those.
- Support communications — information you send us (email, Discord ID, inquiry content).
4.2 Information collected automatically
- Command / interaction usage — which commands or controls are used, when, and associated Discord user/Server IDs, to operate and improve the Service and enforce plan limits.
- Technical and log data — short-lived server logs (errors, clock updates, webhook events), request timestamps, performance metrics, and IP addresses of API requests to our infrastructure.
- Client hints — to the extent Discord’s API provides them, general platform type (desktop, mobile, web).
4.3 Information we do not collect
We do not use Discord Message Content Intent for this app. We do not scrape general chat, private messages, or voice audio. We only process message-like text when you explicitly submit it to the Bot (for example reminder text). We do not intentionally collect phone numbers, real-world home/business addresses, or payment card PANs. Email is collected only if you choose to contact us or if a payment flow requires it via Stripe.
5. How we use information
- Provide, operate, and maintain clocks, alarms, reminders, events, digests, presets, control-panel actions, and related features
- Rename voice channels / update embeds you asked the Bot to manage
- Enforce Free-plan limits and Pro entitlements (including soft usage caps)
- Process payments, renewals, and cancellations via Stripe when configured
- Communicate about Service updates, security notices, or support
- Detect, investigate, and prevent fraud, abuse, security incidents, and Terms violations
- Analyze aggregated or de-identified usage to improve reliability and features
- Comply with law, Discord developer requirements, and lawful authority requests
Weather lines in digests may be fetched from a third-party weather API (currently Open-Meteo or similar) using approximate coordinates derived from a timezone/city you configured — not your personal street address. We do not sell weather query data.
We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects concerning you, beyond ordinary entitlement checks (Free vs Pro) needed to run the Service.
6. Legal bases (where applicable)
Depending on your location, we process data to perform the Service you request (contract / necessity), to pursue legitimate interests in operating and securing the Service, to comply with legal obligations, and where consent is required for a specific activity, on that consent.
7. US state privacy disclosures (including CCPA/CPRA)
7.1 Categories collected (preceding 12 months)
Identifiers (Discord user ID, IP address, email if provided); commercial information (subscription/transaction records when Pro is used); internet or electronic network activity (command usage, logs); and limited geolocation in the form of self-reported timezone/city (not precise GPS).
We do not sell personal information. We do not share personal information for cross-context behavioral advertising, and we have not done so in the preceding 12 months.
7.2 Your rights
Depending on your state of residence, you may have rights to:
- Know / access personal information we process about you
- Delete personal information, subject to legal exceptions
- Correct inaccurate personal information
- Receive a portable copy of certain information
- Opt out of sale/sharing or targeted advertising (not applicable to our current practices)
- Non-discrimination for exercising privacy rights
To exercise rights, contact admin@arcteligentlabs.com. We will verify identity using your Discord user ID and, where needed, additional confirming information, and respond within timeframes required by law (generally 45 days, extendable as permitted). You may designate an authorized agent subject to verification.
7.3 Nevada
We do not sell covered information as defined under Nevada law (NRS 603A). Nevada residents may still submit an opt-out request to admin@arcteligentlabs.com.
7.4 Do Not Track
There is no uniform industry standard for browser “Do Not Track” signals. We do not currently respond to DNT signals. This disclosure is provided under CalOPPA.
8. Sharing
We do not sell your personal data. We share information only with:
- Discord, Inc. — as required to run a Discord bot
- Hosting / infrastructure — cloud providers that run the Service (currently including Fly.io), as subprocessors
- Stripe, Inc. — if you buy Pro, for payment processing (Stripe Privacy Policy)
- Weather provider — Open-Meteo or similar for digest weather lines using configured timezone/city coordinates
- Analytics / error monitoring — if enabled, under contractual limits to protect the data
- Legal / safety — when required by law or to protect rights, safety, or the Service
- Business transfers — in connection with a merger, acquisition, or asset sale, subject to customary confidentiality
- With your consent — where you authorize a specific disclosure
9. Retention
- Feature and configuration data — kept while needed to provide the Service for that user or Server; generally while the Bot remains installed, and up to about 30 days after removal to allow reinstall recovery, then deleted or anonymized unless a longer period is required
- Fired/completed jobs — removed or retained briefly for reliability
- Billing / transaction records — up to 7 years where needed for tax, accounting, or legal recordkeeping
- Support communications — up to about 2 years after resolution
- Logs / technical data — typically up to about 90 days, then deleted or aggregated
You may request earlier deletion as described in Section 7, subject to legal exceptions.
10. Storage and security
Data is stored on our hosted servers (encrypted volume where provided by the host) and transmitted to Discord and browsers over HTTPS/TLS. We use access controls and reasonable administrative/technical measures appropriate to a small utility bot. No method of transmission or storage is 100% secure. If a breach affecting your personal information occurs, we will notify affected users and authorities as required by law.
11. International transfers
Arcteligent operates with infrastructure that may process data in the United States and other regions where our host and subprocessors operate. If you use the Service from elsewhere, you understand information may be transferred to and processed outside your home country, with safeguards used by those providers where required.
12. Your choices
- Cancel your own alarms, reminders, or events using Bot buttons or commands
- Remove live clocks or digests as a Server admin
- Kick/remove the Bot to stop new collection for that Server
- Request access, correction, or deletion by emailing admin@arcteligentlabs.com (we may need to verify Discord account or Server control)
13. Third-party services
Review Discord’s and Stripe’s policies: discord.com/privacy, stripe.com/privacy. We are not responsible for those parties’ practices.
14. Changes
We may update this Policy from time to time. We will post the revised Policy with an updated “Last updated” date. For material changes, we may provide additional notice (for example a Bot announcement or website notice) where required. Continued use after the effective date constitutes acceptance of the updated Policy.
